Access and Other Policies

Access to the Scheme

The electronic documents in DFID’s Scheme are available in English only. However the summary and full text versions of the two White Papers on International Development plus a limited number of Country Assistance Plans are also available in hard copy in other languages including Hindi, Urdu, Arabic, Chinese, French and Portuguese. These are available from DFID Publications Despatch.

In order to help minority and disadvantaged groups access the scheme, we will:

on request, provide facilities within the InfoZone of our London Headquarters and Library of our East Kilbride Headquarters to members of the public wishing to access the Scheme electronically and on paper.

on request to our Public Enquiry Point, print out and send copies of non hard copy material to Scheme users without internet access, although a £5 fee will be charged for printing and posting a small number of particularly long documents (marked ** in the definition of classes)

respond sympathetically to requests from groups or individuals citing difficulties in accessing the scheme.

Retention policy

Unless otherwise stated, the documents in each class will be retained for the life of the Scheme (ie until Publications Schemes are reviewed by the Information Commissioner in 2006). Where the content of documents in each class is liable to change or additional documents are likely to be added, this is clearly stated in the text.


Exemptions

In line with the spirit of the Act, DFID’s policy is for maximum openness. However, where a document within each class contains material DFID considers exempt this is clearly stated and the reasons for withholding certain information explained.

The Crown copyright protected material (other than the Royal Arms and departmental or agency logos) may be reproduced free of charge in any format or medium provided it is reproduced accurately and not used in a misleading context.
